Description
The purpose of this position is to provide senior-level administrative assistance to the Executive Director of the Texas Section of the American Water Works Association (TAWWA) and provide support for the TAWWA Board of Directors, and Chapters.
This is accomplished by; assisting with the planning and execution of Section/Chapter conferences and events, assisting with the implementation of AWWA initiatives in Texas, monitoring and posting social media content, receiving and answering phone calls, emails and written correspondence, processing payment requests and helping maintain budget information, and coordination with Section contractors when necessary appropriate.
Additional duties include processing documents, emails and e-blasts to members, payment of invoices, entering data, interacting with members.

Physical Requirements:
Primarily a Sedentary job, sitting most of the time, and exerting up to 20 pounds of weight.
Occasionally, requires walking or standing to a significant degree, with exerting up to 50 – 75 pounds of weight.
Job Requirements:
Formal Education: Graduation from High School, minimum. Preferred Graduation from an accredited 4-year College.
Experience: Experience working with non-profits and conference environments.
Supervision: Job has no responsibility for direction or supervising others.
Human Collaboration Skills: Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.
Freedom to Act: The employee normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices. The assignment is usually reviewed upon completion.
Communications Skills: The employee must possess the ability to communicate effectively with executives, board members, association members and the public. This includes verbal and written communications, scheduling, and maintaining association information.
Technical Skills Basic: Work requires the use of standard technical skills appropriate to the work environment of the organization. Competent in the use of Microsoft Office products, such as, Excel, Word, PowerPoint and Teams.
Budget Responsibility: Position has no budget responsibility.
Reading: Intermediate - Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Ordinarily, such education is obtained in high school up to college.
Math: Intermediate - Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement. Ordinarily, such education is obtained in high school up to college.
Writing: Intermediate - Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech. Ordinarily, such education is obtained in high school up to college.
Specific Duties
Daily meetings with Exec Dir for coordination of work
Attend meetings with TAWWA members, committees, divisions, chapters
Assist in taking meeting minutes and recordings, and transcribing them into written reports and official minutes.
Assist in invoice resolution and compiling reports for financial reviews/audits.
Monitor and post on the four primary branches of social media (Facebook, Linkedin, X, Instagram)
Assist as TAWWA liaison with DAYTA and/or other social media firms/platforms
Assist with the planning and execution of conferences

Work with AWWA to obtain Insurance for Chapter events
Manage student chapters (hold quarterly roundup meetings with them like the regular chapters do)

Construct and Distribute e-blasts to TXWARN members
Assist in TXWARN response activities
Assist in Invoicing TCEQ grant payments.
